The personal data we process

We process the following types of personal data about you:

• First and last name.
• Company.
• Email address.
• Phone number.
• Communication history between you and our employees.
• History of activities with the company you work for and in which you also participate.
• Contracts in which your personal data also appears.
• Commercial documents, such as orders, quotes, and air waybills, in which your personal data also appears.
• Billing information.
• Transaction ID.

Why do we need this data?

We need your personal data for the following processing activities:

• First and last name – we use this data to identify you as a person involved in the contractual relationship with the company you represent.
• Company – we need this information to finalize the documentation related to the contractual relationship.
• Email address – so that we can communicate effectively.
• Phone number – to discuss matters related to the contractual relationship.
• Contract – if a contract is signed between us and the company you represent and contains your personal data, this document also constitutes personal data.
• Commercial documents, such as orders, quotes, and air waybills – if commercial documents containing your personal data are exchanged between us and the company you represent, these documents also constitute personal data.
• Billing information – we must use this information to issue your invoices.
• Transaction ID – this information is used to process the payment made using your credit card.

• First and last name – we need this data to personalize our communications with you and correctly identify you in our information systems.
• Email address – we use your email address to communicate with you.
• Phone number – we use your phone number to communicate various business information to you.
• Communication history between you and our employees – this data is used by our employees involved in business relations with the company you represent in order to identify and respond to your needs.
• History of activities with the company you work for and in which you also participate – this data is used by our employees involved in business relations with the company you represent in order to identify and respond to your needs.

What we do with your data

Your personal data is processed by Process Fusion Inc., located in Canada. The hosting and storage of your data takes place in our data centre, located in Canada, or through a cloud service, for example Microsoft Azure, operated internationally and with data centres in certain countries.

As specified in the applicable service agreements, no other third party has access to your data unless specifically required by law.

We will comply with all applicable legal and regulatory requirements, including responding to requests from government agencies, subpoenas, and/or any other legal process. We have taken appropriate measures to ensure that the data provided to us is properly protected.

How long we keep personal data

Personal data contained in financial and accounting documents, or in documents attached to financial and accounting documents, will be retained for 7 years and will not be accessed for purposes other than the legal purpose for which it is archived. After 7 years, this data will be destroyed if it is no longer used.

Personal data from our information systems will be retained for 7 years based on our legitimate interest in demonstrating the accuracy of tax and commercial operations, after which it will be anonymized.

What are your rights?

If you have reason to believe that any personal data we hold about you is inaccurate or incomplete, you have the right to request access to your personal data, to have it corrected, to request its deletion, to request restriction of processing, or to object to processing. You also have the right to data portability.
